You want to have the best working relationship possible with those who will be stage scenery for your event whatever the occasion.  To begin with, you need to get them involved as soon as possible.  If you haven’t picked your site yet, their knowledge can be of great use in deciding what venue or room would be best suited for your event and dependent on the technology required.  It is important for your stagers to know in advance the size and shape of the room, and the height of the ceilings if it is an indoor event as all of that plays a major role in stage design or even in what types of technology they will be able to use, such as lighting, video, audio, or special effects.

This is where your stagers will shine. You can depend on them to provide you with the most up-to-date technological advances in the field. That is why you hired them isn’t it, because they are experts in the field? If you share a clear vision of your concept for your event, including how you want to make the audience feel, and what your budget is, they have the skills and the knowledge to give you what you want and need in the most efficient and practical way possible. It could be that the most feasible way to let your stage is by rigging a trust up in the ceiling but that is not something your budget will allow.
